How does AMTESOL use cookies and tracking tools?

Cookies are small pieces of data stored on a website visitor's browser. They are typically used to keep track of the settings users have selected and actions they have taken on a website.

AMTESOL uses cookies on its website in order to:​

  • Provide a great experience for our website visitors.

  • Enable the Wix website platform to monitor and analyze the performance, operation and effectiveness of its application.

  • To help the Wix website platform ensure our website is secure and safe to use.

What, why and how does AMTESOL collect information?

AMTESOL Members

In order to maintain its current and previous membership rosters and communicate with its members, AMTESOL collects members' name, highest degree earned (for AMTESOL statistical purposes), name of workplace/institution, role, email address, phone number, city, and state. AMTESOL Conference registration includes a 1-year AMTESOL membership; i.e., AMTESOL Conference Attendees are also AMTESOL Members. Individuals who do not attend the conference may undertake AMTESOL membership by completing the AMTESOL Membership Form and paying the dues. Payment is collected via the Stripe app and credit card information is not stored by AMTESOL.

AMTESOL Conference Registrants

In order to maintain accurate records of conference registration, AMTESOL collects members' name, highest degree earned (for AMTESOL statistical purposes), name of workplace/institution, role, email address, phone number, city, state, registered events, and dietary restrictions. Data is collected by a Whova app registration form. Online payment is collected via the Stripe app integrated with either the Whova conference app or Xero accounting app. Credit card information is not stored by AMTESOL.

AMTESOL Mailing List

In order to occasionally send announcements to interested individuals, AMTESOL uses its "Join the AMTESOL mailing list" form to allow individuals to add themselves to AMTESOL's Mailing List. AMTESOL collects an individual's name, email address, state, and role.​ AMTESOL also adds AMTESOL Members and AMTESOL Conference Registrants to its Mailing List.

How does AMTESOL store information and who has access to it?

AMTESOL stores information in the following secure apps: Google Workspace, Mailchimp email database, Whova event management, Xero accounting, and Stripe payment platform. Appropriate current AMTESOL Board Members have access to Google, Mailchimp, and Whova. AMTESOL Treasurers, Accountant, and the AMTESOL Administrator have access to Xero and Stripe.

 

Does AMTESOL disclose or sell information to third parties?

AMTESOL never discloses or sells your information to third parties. AMTESOL Conference Exhibitors and Sponsors collect their own leads, which always involves you giving your direct permission for the Exhibitor or Sponsor to collect your information from you.

How does AMTESOL communicate with its site users?

AMTESOL Members

AMTESOL generally communicates with its members using the Mailchimp email database app. During its annual conference season, AMTESOL sometimes communicates with its members via the Whova event management platform.

Conference Registrants and Attendees

AMTESOL generally communicates with the registrants and attendees of its annual conference via the Whova event management platform.

​

AMTESOL Mailing List

AMTESOL generally communicates with its mailing list via the MailChimp email database app.

How can individuals request to change or delete their information?

AMTESOL Members and Conference Attendees

If you don’t want AMTESOL to store or use your data anymore, please contact us at hello@amtesol.org. Please note that this could affect AMTESOL's ability to confirm previous AMTESOL conference attendance and/or AMTESOL membership and you will miss out on member announcements.

 

If you are currently registered for AMTESOL's upcoming conference, AMTESOL needs to store and use your information for conference notifications and conference participation.

If you would like to unsubscribe from AMTESOL's Mailing List, either click Unsubcribe on the next mass email from AMTESOL or email us your request to hello@amtesol.org.

Privacy Policy Updates

AMTESOL reserves the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
